Scope of this notice

This notice covers personal data processed when you:

visit SmartC’s public website;
use Talk to Us, Book a Demo, Request an Assessment or security-review forms;
schedule or attend a meeting with SmartC;
exchange business emails or other communications with us; or
interact with future events, webinars or marketing communications where this notice is linked.
Customer product data is different. When SmartC processes enterprise customer data to provide a contracted service, the applicable agreement and data-processing terms govern that processing.

Please do not submit passwords, credentials, confidential customer datasets, health information or other sensitive personal data through public website forms.

full name, work email, company and business contact details.
Inquiry data
discussion area, preferred next step, priorities, triggers, questions and message content.
Demo and Assessment data
scheduling details, business context, selected IT cost area, scope and information you choose to share.
Communication data
emails, meeting notes, responses and follow-up history.
Technical and security data
IP address, browser, device, timestamps, server logs and security events generated when the site is used.
Cookie and analytics data
only to the extent enabled and described in the Cookie Notice and consent interface.

Where personal data comes from

We obtain personal data directly from you. Where appropriate and lawful, business contact information may also come from your employer, a referrer, an event organizer, a scheduling provider or publicly available professional sources.

Who we disclose personal data to

SmartC may disclose personal data only as needed to:

hosting, database, email, scheduling, CRM, analytics, security and support providers used to operate the website and business workflow;
professional advisers such as legal, accounting, tax and security advisers;
authorities or other parties where disclosure is required by law or necessary to protect rights; and
a buyer, investor or successor in connection with a corporate transaction, subject to appropriate safeguards.

International transfers

Some service providers may process personal data outside the country where you are located. Before publication, SmartC will confirm the actual hosting and processing locations and the transfer safeguards used where required by law.

How long we keep personal data

We keep personal data only for the time needed for the purposes described above, including business follow-up, security, compliance, dispute resolution and legal recordkeeping. The proposed periods in the purpose table must be validated against the final systems, contracts and legal requirements before publication.

SmartC’s use of cookies and similar technologies is described in the Cookie Notice. Non-essential analytics, embedded or advertising technologies must not be activated before the required notice and consent controls are working.

Security

SmartC uses reasonable organizational and technical measures appropriate to the nature of the website and the personal data processed. No internet service can guarantee absolute security. Security architecture and evidence for customer deployments are reviewed separately through SmartC’s Trust & Security process.

Your privacy rights

Depending on where you live and the law that applies, you may have rights to request access, correction, deletion, restriction, portability, objection, withdrawal of consent, or an opt-out from certain uses of personal data.

To exercise a right, contact privacy@smartc.ai. SmartC may need to verify your identity and may retain limited records of the request to demonstrate compliance.

SmartC does not use website or prospect data to make decisions based solely on automated processing that produce legal or similarly significant effects.

How to raise a concern

Contact SmartC first at privacy@smartc.ai so we can review the issue. Depending on your location, you may also have the right to complain to the privacy or data-protection authority responsible for your jurisdiction.
